The rule this policy exists for
Do not bring Maya into a conversation the participants have not agreed she can be in.
Everything below follows from that. Breaching this section is grounds for immediate termination without refund, because it is the use that exposes both of us to the most serious liability.
Specifically, you must not:
- invite Maya to a meeting without obtaining the consent applicable law requires from every
participant;
- use Maya in a jurisdiction requiring all-party consent unless you have all-party consent;
- conceal, rename, mute or misrepresent Maya so that participants do not realise an AI is present and
listening;
- rejoin her after a participant has objected;
- use her to record a conversation you are not yourself a party to, or are not authorised to admit an
attendee to.
Conversations Maya must not be used for
Regardless of consent, do not use Maya to capture or process:
- Legally privileged conversations — attorney-client discussions, or anything prepared in
anticipation of litigation. A third-party AI listening can jeopardise the privilege itself.
- Regulated health information where the applicable regime (for example HIPAA) requires safeguards
we have not agreed with you in writing.
- Payment card data, government identifiers, or account credentials spoken aloud.
- Children's conversations, or any setting where participants cannot lawfully give consent.
- Collective bargaining, grievance, disciplinary or works-council proceedings, where recording is
frequently restricted by employment law and by agreement.
- Confidential information you are not permitted to disclose to a processor, including another
party's material under an NDA that does not allow sub-processing.
Surveillance
Do not use Maya to monitor people covertly, to evaluate or discipline staff without their knowledge, or to build a record of an individual's behaviour without their awareness. Maya is a meeting assistant, not a monitoring tool.
General prohibitions
Do not use Maya, or attempt to:
- break the law, or facilitate someone else doing so;
- infringe intellectual property or misappropriate trade secrets;
- harass, defame or discriminate against anyone;
- access another customer's account, sessions, transcripts or documents;
- probe, scan or interfere with the service, its infrastructure, or the containers running it;
- circumvent metering, credit limits, capacity limits or authentication;
- resell or provide the service to third parties without our written agreement;
- use automation to create accounts, or share one account across an organisation to avoid paying;
- extract our prompts, models or configuration, or use output to train a competing model.
Output
Maya produces drafts. Do not present her output as a verbatim or authoritative record of a meeting, and do not attribute a statement, commitment or approval to a person on her word alone without checking. See Terms clause 7.
How we enforce this
We would rather fix a problem than end a relationship, so where circumstances allow we will contact you first.
We may act without notice where we reasonably believe there is recording without consent, a legal threat to us or a third party, or a risk to the service. Actions available to us include warning you, removing Maya from a meeting, suspending or terminating the account, and where legally required, reporting to authorities.
We do not monitor the content of your meetings to police this policy. We act on reports and on operational signals. That is a deliberate privacy choice, and it means compliance rests with you.
